Event Management

Many organisations have a need to organise events and meetings for their membership base and beyond. With the optional Event Management software, this may be integrated with your Enterprise database in order to maintain the philosophy of one central storage database.

Integrating directly using the same user accounts as Enterprise, Events may be configured with some of these following options.

  • Unlimited events may be configured
  • Events may contain a single session or be split into numerous for pricing, available space or both
  • Unlimited price lists with automatic selection based on dates e.g. "early bird" pricing
  • Extensive user defined fields for event specific recording of booking data
  • Table allocation for dinners and speeches etc
  • Seating allocation for theatre type events
  • Copy event facility to avoid the complete recreation of similar events

Once created, bookings are added to events and the source data can be searched directly from the Enterprise membership database to bring through names, addresses and key record status information (such as being a current member for the purpose of benefiting from say a members special rate).

Once a booking is created, delegates are added to that booking and may be one of the following three types.

  • Directly retrieved from the Enterprise database
  • Named as a one-off against the booking on that event (for example, spouse details that may not be required to be stored within the membership database)
  • Anonymous i.e. one delegate and 3 guests

New records may be added to the Enterprise database directly from the Event Management system thus providing marketing opportunities to turn delegates into potential members.

Some of the other booking features are:

  • Event attendance is automatically recorded against records within Enterprise providing a detailed history of your members' activities
  • Invoicing and receipting is handled directly from Event Manager with a direct link to the transaction history of the member or delegate record providing one central area where all financial dealings are recorded
  • Separation of the person making the booking and the delegates or a simple system of making the booker also an attending delegate
  • Ad-hoc pricing capability
  • Overbooking prevention
  • Automatically generated booking history
  • Extensive booking or delegate notes
  • Process monetary receipts at the point of booking creation

The transactions generated by Event Manager are recorded directly in the transaction file of Enterprise and will ultimately be posted to your accounting system during the next batch update.

An overview function provides the following capabilities:

  • Event Summary of provisional, confirmed and cancelled delegates together with income totals
  • Table and seating allocation from bookings made
  • Session attendance summaries

From the overview, the amendment of an existing booking is a double-click of the mouse away and new bookings may be added if required.

Costs incurred may also be recorded against individual events in order to produce an income and expenditure summary on an event-by-event basis or for multiple events if required to ensure that your Events are not running at a defecit.
